Your privacy matters to us. This policy explains what information Gentle Ink collects, why we need it, and how we keep it safe. We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
WHAT WE COLLECT
- Contact details: your name, address, phone number, email and an emergency contact.
- Health information: the answers on your Health & Consent form, including medical conditions, medications, allergies and recent treatments.
- Treatment records: the details of your treatment, including the pigments and products used.
- Photos and videos: before and after images of your treatment.
- Payment details: deposits and payments are handled by our payment processors. We never see or store your full card number.
- Website activity: our website uses cookies, including from Google and Meta, to understand how visitors use the site and to measure our ads.
WHY WE COLLECT IT
- To book your appointment and contact you about it.
- To make sure your treatment is safe for you.
- To keep the treatment records required by our insurer and by Ontario public health rules.
- To send you aftercare, touch-up reminders and, if you agree, occasional updates and offers. You can unsubscribe at any time.
YOUR PHOTOS
Before and after photos are always kept in your private client record. We only share them online, on social media, our website or in marketing, if you said yes on your consent form. You can change your answer at any time by emailing us, and we'll stop using your photos in new posts.
WHO WE SHARE IT WITH
We never sell your information. We only share it with:
- The services that run our business, like our booking system (Acuity Scheduling) and payment processors (Square and Stripe). Some of these services store information outside Canada, where it may be subject to local laws.
- Our insurer and legal advisors, only if needed for a claim or legal matter.
- Public health authorities or others, only when the law requires it.
HOW LONG WE KEEP IT
We keep your health information, consent forms and treatment records for up to 10 years, as required by our insurance. After that, they are securely deleted.
HOW WE PROTECT IT
Your information is stored in secure, password-protected systems with two-step verification, and only Gentle Ink can access it.
YOUR RIGHTS
You can ask to see the information we hold about you, correct anything that's wrong, or withdraw your consent for things like photo sharing or marketing emails. We'll respond within 30 days. Some records must be kept for the time required by law and our insurance, even if you ask us to delete them.
AGE
Gentle Ink only provides services to clients 18 years of age or older.
CHANGES
We may update this policy from time to time. The latest version will always be on this page.
